Setting Up Attendance Locations

Through the Attendance Location feature, companies can define more than one specific attendance point for employees, such as the head office, branch offices, or even particular project sites. By utilizing GPS technology and configurable location radius settings, Hadirr ensures that employees can only clock in when they are within the designated area. 

This feature is designed to improve accuracy and transparency in attendance tracking. Companies can prevent fraudulent attendance practices (such as fake GPS usage) and simplify the monitoring of field teams with high mobility.

A. How to Add a Location

  1. Go to the Company > Operations Settings > Attendance Locations menu > Add New Spot

  2. Admins can add a location using either the address search method or the coordinate search method. The differences between these methods are as follows:

    • Search by Address
      The requirement is that the company’s address is already listed on Google Maps and the location pin is accurate.

    • Search by Coordinates
      If the admin wants more precise location accuracy based on latitude and longitude when adding a location, this method is recommended.

Here is a tutorial for adding an attendance location based on the two methods above:

1. Adding an Attendance Location by Entering the Address Directly

  • Go to the Company > Opeations Settings > Attendance Locations > Add New Spot > Click the search icon to search by Address

  • Then, the admin can search for the address in the search field and enter the following information:

    1. The entered address will automatically display the detailed address, including its latitude and longitude.

    2. Enter the “Location Name”

    3. Enter the “Radius” according to company policy. The radius is the area surrounding a location at an equal distance from its center point.


      Example: If the Main Office location is set with a radius of 20 meters, and an employee records attendance beyond 20 meters from the designated point, the attendance will be considered out of range.

2. Adding an Attendance Location Using Coordinates (Latitude & Longitude)

  • Go to the Company > Operations Settings > Attendance Locations > Add New Spot > Click the search icon to search by Coordinates Input

  • Then, the admin can enter the Latitude and Longitude, and proceed to fill in the following information:

    1. The entered Latitude and Longitude will automatically display the detailed address.

    2. Enter the “Location Name”

    3. Enter the “Radius” according to company policy. The radius is the area surrounding a location at an equal distance from its center point.


      Example: If the Koi The Office location is set with a radius of 40 meters, and an employee records attendance beyond 40 meters from the designated point, the attendance will be considered out of range.

B. Assign Personnel to a Registered Attendance Spots

Companies can assign different spots/locations to each employee by adding the selected personnel. These spots/locations can only be used by the chosen employees, as long as their attendance method meets the requirements (On Spot).

To assign a spot/location to employees, follow these steps:

  1. Go to the Company > Operations Settings > Attendance Locations > Select the Assign Personnel icon

  2. Then, on the Assign Personnel page, the admin can select employees to be assigned to the attendance location based on a specific personnel group or all groups, with the following two options:

    • Check “Select All” to automatically select all personnel assigned to the chosen location

    • Check by “Personnel Name” to assign only the selected employees to the location
