Managing Work Schedules with the Work Pattern Feature

Work Pattern is a highly useful feature for companies that implement recurring or fixed work schedules. Companies can also set employee lateness tolerance so that the attendance summary can display the total number of late occurrences within a certain period.

A. Steps to Create a Work Pattern

  1. Log in to the Hadirr Admin Portal

  2. Go to Mobile Settings > Work Pattern > Add Work Pattern

  3. Fill in the work pattern details according to your company’s policies.

    • Work Pattern Name: Fill in according to the existing work schedule name in your company.

    • Number of Work Pattern Days: Determines the schedule cycle based on the number of days in a week, typically 7 days. This pattern will repeat according to the defined period. For example:

      • If employees work Monday–Friday and are off on Saturday–Sunday, a 7-day work pattern will repeat every week.

      • If the company wants a schedule that repeats every 2 weeks, the number of work pattern days can be set to 14 so the schedule remains consistent within that period.

    • You can also choose to apply a WFO/WFH system based on your company’s policy. In the Work Schedule section, it will be automatically filled based on the Number of Work Pattern Days, with default working hours of 08:00 to 17:00 (24-hour format) and set to WFO by default. Don’t worry—these hours, days, and the WFO/WFH settings can be adjusted according to your needs.

    • Tardiness Tolerance is used to set the allowed number of minutes an employee can be late (if applicable). For example, if an employee’s start time is 08:00 and they are allowed a maximum lateness of 15 minutes, the admin can input the tardiness tolerance as follows:

    • Day 1 of the Work Pattern refers to the starting day when the work pattern begins. For example, Day 1 is typically the first day in the calendar week, usually Monday. Day 6 is assumed to be Saturday, and Day 7 is Sunday.

      It is important to define this correctly, as it will affect the synchronization of employees’ working days and days off, as well as the repetition of the work pattern.

    • Additional Option: Enable the “Present On National Holidays” option if your company applies a policy where public holidays are treated as regular working days.

    An overview of the work pattern implementation can be seen below:

    Description:

    • The employee, Adeline Margareth, was initially recorded as not having an assigned work pattern.

    • The admin then assigned an existing work pattern, namely “Example”, which consists of 5 working days per week (Monday–Friday) and 2 days off (Saturday–Sunday).

    • This work pattern was applied to Adeline Margareth starting from April 20, 2026, which falls on a Monday and is considered Day 1 in the weekly sequence.

    • The applied work pattern will remain effective until April 20, 2027. After that date, the work pattern will automatically end. However, the admin can adjust or modify the end date as needed.

    • Additionally, the admin enabled the “Present On National Holidays” option for the employee.

  4. Next, in the Action column, you can view details, make changes, or delete the work pattern.

B. Applying an Employee Work Pattern

  1. Assign or apply the work pattern that has been created to employees so they follow the company’s work schedule. You can navigate to Personnel > Personnel Work Time > Add Work Pattern.

    You can apply work patterns individually or in bulk—let’s take a look at the differences.

    a. Assign Individual

    In this option, you cannot add, remove, or modify the Employee Name field. This means it only applies to the employee who has been selected beforehand.

    Make sure you have set the effective date and the end date of the work pattern, and adjust the Day column according to the corresponding day of the effective date, as shown below:

    Additional Option: Enable the “Present On National Holidays” option if your company applies a policy where public holidays are treated as regular working days.

    b. Bulk Assignment of Work Patterns

    This option allows you to apply a work pattern to multiple employees at once. Here are the steps:

    • Go to the Work Pattern page > then click the person icon (Add by Personnel).

    • Select the employees you want to assign to the work pattern. You can also choose to add employees based on all existing personnel groups, then click “Add by Personnel.”

    • Set the effective date and the end date of the work pattern, and adjust the Day column accordingly (based on the weekly cycle).

      Description:

      • The Effective Date column indicates when the employee’s work pattern becomes active and corresponds to which day of the week it falls on. For example, April 21, 2026 falls on a Tuesday, which is considered Day 2 of the week.

      • The End Date column indicates when the work pattern will expire. This can be set according to the company’s needs.

      • The Day column represents the corresponding day number within the week based on the selected effective date.

      • Once everything is set correctly, click “Save Changes.”

  2. To view employee work patterns, please navigate to Personnel > Personnel Work Time > History Personnel Work Pattern

  3. Employee work pattern data that has been successfully applied will be marked with an Active status.

  4. A preview of the employee’s work pattern can be seen in the Daily Attendance menu by hovering over the yellow icon next to the employee’s name.
