Managing Work Schedules with the Shift Feature

The diversity of industries leads to different employee working hours. Hadirr provides features to manage working hours, both structured (Work Patterns) and unstructured (Shifts). In general, a shift system divides working hours into several time slots within the same day, for example 06:00–14:00, 14:00–22:00, and 22:00–06:00. This system is typically implemented on a rotating basis among employees. This article will discuss how to implement a shift system in Hadirr.

A. Creating Shift Types

  1. Go to the menu page at https://user.hadirr.com/shift

  2. First, create the shift types used in your company by clicking the + New Shift button.

  3. You can fill in the following fields:

    • Shift Name: For example, “Morning Shift” or “Night Shift”.

    • Shift Description: Provide details about the work schedule, e.g., “Work Schedule at Store A”.

    • Clock-In and Clock-Out: Set according to the employee’s working hours.

    • Late Tolerance (optional): Based on company policy. For example, if the start time is 08:00 with a 15-minute tolerance, employees will be considered late if they clock in after 08:15.

    • Work Status (optional): Choose WFH (Work From Home) or WFO (Work From Office).

    • Label Color: Select a color to differentiate shifts.

  4. Click Add. Once successful, Hadirr will display a notification as shown in the image below.

B. Applying Shifts to Employees

  1. Manual Method

    This process is carried out using a drag-and-drop method, where previously created shift schedules can be moved to the selected dates and applied to employees.

    For example, if Division A in your company uses a shift work system, you can first filter by group, then drag and drop the shift schedule onto the desired date. Alternatively, you can directly select an employee’s name and drag and drop the shift schedule to assign it to that employee.

    Notes:

    • You can assign shifts to employees based on groups, provided that the employees have already been grouped.

    • Employees who still have an active work pattern will have their schedule boxes locked and cannot be assigned shift schedules.

  2. Upload via Template Method
    Admins can upload shift schedules using the template provided by Hadirr by clicking the “Upload Shift Schedule” button.

    Then, click “this template” to download the template. Fill it out according to your needs.

    After completing the template, select the file and click Upload.

  3. How to Synchronize Shift Data with Gadjian
    If you are a Gadjian user and your Hadirr account is already integrated, you can synchronize shift data from Gadjian to Hadirr or vice versa without needing to create shifts separately in each application.

    The requirement is that employee data in both Hadirr and Gadjian has already been paired, and employees have been assigned their shifts in Gadjian or Hadirr.
