Managing the Hadirr Sales Feature in the Admin Portal

The Hadirr Sales feature helps you track sales activities in real-time, monitor team performance, and ensure every prospect is followed up promptly. With a user-friendly interface, seamless integration with daily reports, and a comprehensive dashboard, Hadirr Sales enables your team to work more efficiently and stay focused on closing deals.

In this tutorial, we will cover how to use Hadirr Sales, from the initial setup to tips for improving your sales team’s effectiveness.

A. User Management

Menu Access

Has full access to all Hadirr Sales Admin menus, including User Management, Pipeline, and Reports.

Has limited access to the Hadirr application, restricted to sales-related features, including viewing and managing their own deal cards.

Authorized Actions

1. Manage and maintain Admin and Employee accounts. 2. Create, configure, and manage sales pipelines. 3. Invite and assign employees to pipelines. 4. Access, review, and download team performance reports. 5. Monitor and manage all deal cards across the organization.

1. View and manage assigned deal cards within the pipeline. 2. Record and update activities (e.g., calls, visits, and tasks) within deal cards. 3. Update deal milestones and relevant deal information.

Role Definition

Functions as a Manager or Supervisor, responsible for overseeing team performance and managing sales strategies.

Functions as a Sales Representative, responsible for executing sales activities and maintaining accurate activity records.

Quota Allocation

Entitled to 2 (two) Admin accounts by default. Additional quotas may be obtained through a subscription upgrade via the “Subscription Fee Information” menu.

Entitled to 2 (two) Employee accounts by default. Additional quotas may be obtained through a subscription upgrade via the “Subscription Fee Information” menu.

  1. Adding a Hadirr Sales Admin

    a. Navigate to Hadirr Sales > Manage User > Add Admin

    b. Select the Admin Source

    • Hadirr Admin

      For example, Admin A is already registered as a General Admin in Hadirr. By selecting this option, Admin A will automatically gain access to the Hadirr Sales menu.

    • Non-Hadirr Admin

      For example, you want to add Admin B who is not currently registered as any type of Admin in Hadirr. By selecting this option, Admin B will only have access to the Hadirr Sales menu, without access to other menus.

    c. Save the configuration by clicking the “Add Admin” button.

    📌 Note:

    Invited admins are required to complete verification through their registered email address before gaining access.

  2. Deactivating and Deleting a Hadirr Sales Admin

    a. Deactivating a Hadirr Sales Admin

    • Navigate to Hadirr Sales > Manage User > Admin

    • Select the admin, then click the Deactivate Admin icon

    b. Deleting a Hadirr Sales Admin

    • Navigate to Hadirr Sales > Manage User > Admin

    • Select the admin, then click the Delete Admin Sales icon

    📌 Note:

    Deleting a Hadirr Sales Admin will permanently remove all deal card history associated with that admin within Hadirr Sales.

  3. Adding a Hadirr Sales Employee

    a. Navigate to Hadirr Sales > Manage User > Personnel > Add Personnel

    b. Select the Personnel

    • Use this option to grant Hadirr Sales access to the employee within the Hadirr application.

    • Only active Hadirr users can be added as Hadirr Sales employees.

    c. After selecting the employee, save the configuration by clicking the “Add Personnel” button.

  4. Deactivating and Deleting a Hadirr Sales Employee

    a. Deactivating a Hadirr Sales Employee

    • Navigate to Hadirr Sales > Manage User > Personnel

    • Select the employee, then click the Deactivate icon

      📌 Notes:

      • A mint green toggle (turn off) indicates that the admin can partially deactivate the employee. In this state, the employee can still add deal cards but cannot delete them.

      • A red toggle (turn off) indicates full deactivation, meaning the employee will no longer have access to the Hadirr Sales features.

    b. Deleting a Hadirr Sales Personnel

    • Navigate to Hadirr Sales > Manage User > Personnel

    • Select the employee, then click the Delete Sales Employee icon

    📌 Note:

    Deleting a Hadirr Sales employee will permanently remove all deal card history associated with that employee within Hadirr Sales.

B. Pipeline

A sales pipeline is a method used to manage and track sales data from existing prospects. In Hadirr Sales, a default pipeline is provided by the system, which includes the following milestone stages:

  • Qualified

  • Contact Made

  • Demo Scheduled

  • Proposal Made

  • Negotiations

📌 Note:

The default pipeline cannot be deleted or modified, including its milestone stages.

  1. How to Add a Hadirr Sales Pipeline

    a. Navigate to Hadirr Sales > Pipeline, then click the Add Pipeline icon

    b. Enter the pipeline details, which include:

    • Pipeline Name: Enter the desired name for the pipeline

    • Milestones: Define the stages of the pipeline process. A maximum of 10 milestones can be added

    c. After completing the pipeline name and milestones, click Save

  2. How to Invite Employees to a Pipeline

    a. Select the pipeline you want to assign to employees (e.g., “Bag”)

    b. Click the Invite option

    c. The Invite to Pipeline window will appear. Select the user type:

    • Admin

    • Personnel

    d. Click Save

  3. How to Add a Hadirr Sales Deal Card

    a. Navigate to Hadirr Sales > Pipeline, then click the Add Deal Card icon

    b. Deal cards in Hadirr Sales can be added using two methods:

    • Manual Entry: You can directly input customer data, including transaction details, prospect information, and deal value based on the available fields. Once all required information is completed, click Save.

    • Import from Excel: You can import pipeline data into Hadirr by downloading the available Excel pipeline template, click Here. Fill in the template according to the provided format. Once completed, upload the filled template to add deal cards.

  4. How to Edit a Deal Card or Add Activities

    a. Hover over the existing deal card, then click the pencil icon to make changes

    b. Click the pencil icon to update contact information, organization, pipeline, and assigned user

    c. You can also add activities, as follows:

    • Call: Activities conducted via phone calls

    • Visit: Activities conducted through visits/client visits recorded in Hadirr

    • Task: Activities based on individual tasks or assignments

    • Email: Activities conducted via email

    • Others: Select this option if the activity is not listed in the available options

      📌 Note:

      Ensure that all activity details are completed, including the activity name, start and end dates (timeline), and activity description, then click Save.

    d. You can also add file attachments to the created deal card

    📌 Note:

    Ensure that the uploaded files are in PNG or JPG format with a maximum size of 1 MB, then click Save.

C. Hadirr Sales Reports

  1. Navigate to Hadirr Sales > Report > Download Hadirr Sales Report

  2. Select the desired date range, apply filters by employee name (or all employees), status, time and pipeline, then click Download

D. Subscription Fee Information

  1. Navigate to Hadirr Sales > Subscription info

  2. To upgrade your Hadirr Sales quota, follow these steps:

    • Click the Upgrade icon

    • Enter the number of additional Admin or Employee quotas required

    • The total cost will be automatically calculated based on Hadirr’s pricing

    • Once confirmed, click Upgrade to complete the process
