Waiting For Approval Feature

Written by Istiana

Waiting For Approval feature in Hadirr is used to view a list of employee attendance records that require admin approval. This includes attendance that does not meet certain requirements, manually recorded attendance (where the time is selected by the employee), and overtime entries.

Currently, the Hadirr application uses two main methods to validate employee attendance. The principles are as follows:

  1. Location Validation (Attendance Spot)
The system detects the employee’s location via GPS (Global Positioning System) when attendance is recorded through a mobile device, provided there is a stable internet connection.

  2. Face Recognition
When an employee records their attendance, Hadirr matches their facial photo with the one registered during the initial setup to ensure that the attendance is not recorded on behalf of someone else.

📌 Note:
Both validations above will be active if, in the Mobile Settings > Policy Settings menu, points 2 and 4 are enabled, where GPS coordinates and face recognition are set to “YES.”

If one of the two validations above is not met—for example, if the location is inaccurate or the facial photo does not match—the employee’s attendance record will not be directly recorded in the Daily Attendance menu. Instead, Hadirr will redirect it to the Waiting for Approval menu, meaning the attendance must first be reviewed by an admin.

The admin needs to verify whether the attendance record is valid. The admin can approve it (if it is considered valid), reject it (if it is deemed invalid), or delete the attendance record so the employee can submit a new one.

📋 Below is a table explaining the Waiting for Approval statuses in Hadirr.

Out of Range

Not Checked

The location is detected outside the permitted area (Attendance Spot), therefore the attendance requires admin approval. Since the location is invalid, the process does not proceed to facial recognition verification.

Not Detected

Not Checked

The location cannot be detected because the GPS is turned off, there is an issue with the device’s GPS, or location permissions for the Hadirr application have not been enabled. As a result, the system is unable to validate the location and proceeds to facial recognition verification.

(Location Name Based on Attendance Spot)

Not Matched

The location is valid; however, the facial recognition does not match the reference photo. This is commonly caused by a blurry or unclear image, or the face not being properly aligned with the camera.

Manual

Manual

The attendance record is manually entered by the employee without GPS data or a facial photo. Manual attendance entries require admin approval.

Offline

Offline

Attendance is recorded without an internet connection (e.g., unstable network, no mobile data, or no Wi-Fi). When employees record attendance in offline mode, Hadirr allows them to capture attendance data without requiring an internet connection. However, the system will not detect the location at the time of recording.

The data will be temporarily stored on the employee’s device and will be submitted to the admin portal once the internet connection is restored and the employee reopens the Hadirr application.
